Agenda
1. Announcements
-Trina Lopez has been hired as the new Art/History Classics Library,
Technical Services/Circulation Supervisor. Welcome Trina!
-Nga Ong has joined Collection Core Services and will take over Megan's
duties. Congratulations Nga!
2. Gladis update / C. Takaro
-Joe Mitola's last day will be Aug. 18th. He will be very much
missed and this will impact workload in our unit.
-New version of the Bancroft surge notes for Pathfinder and Melvyl
(March).
-Programming to support Physics-Astronomy move (March).
-Added CPER location and setup notes for it (March), ran program to
transfer 4600 holdings from MAIN to CPER (July)
-Name change for UNDE to MOFF (March), resend of all records to
Pathfinder and Melvyl.
-New special handling for electronic resources. URLs (from an 856)
will display with the holdings as location WEB instead of in the bib
portion of the record. WEB holdings (whether actual holdings with
location WEB or constructed holdings with location WEB derived from the
856) will display as the first holding in the record. See example
record below (April)
-Changes to stop displaying Calif Driver’s License field on Autocirc
patron screen and patron edit for search only users. (April)
-Migrated to new Tandem (May), moved to Evans (June) - Evans move
required programming changes to accommodate new networked printing of
postcards, etc. Public Gladis and autocirc had some garbage
characters and other display problems for a short time until the problem
was reported and fixed. (June) Some of us spent most of May
preparing for this migration to the new Tandem, and we're still
recovering from it! But it went very well, and Gladis was back up in
about 24 hours.
-Circcode changes for EAST (June), change to how microfilm call numbers
for EAST load from OCLC.
-ICPSR records loaded in July.
-Batch job set all 308t (thesis) circ codes for MAIN, not at NRLF, to
non-circulating (June).
-Melvyl loading backlog, esp. after resend of all MOFF records in April,
problematic again in June/July.
-Authority load in progress, had to keep back records from being resent
to Pathfinder and Melvyl for this for now (July). These will all
have to be resent at a future date.
-OCLC problems, all or most of which result from migration to Connextion
client:
--June: Records coming from OCLC missing fields: 007, location, LCCN
malformed. This problem was reported by us to OCLC and eventually
replacement records were loaded, provided by OCLC, after a lot of
troubleshooting and follow-up on the part of Michael Meacham of Tech
Services and our office.
--June: Cyrillic, Arabic scripts started coming in our OCLC records, a
change we were not prepared for. GLADIS can only handle CJK
vernacular at this time. Catalogers have been instructed to strip
vernacular from these records for now - any that come through with
vernacular other than CJK are rejected and logged.
--July: Records coming from OCLC missing 505 fields in CJK records
containing multiple 505s. The subsequent romanized 505s are missing, the
CJK vernacular come through fine. This was just reported to OCLC 8/1 -
see email of 8/11 for an update and more details. It turns out this
problem affects all long records, not just CJK.
-RLIN problems: A host of problems relating to catalog availability and
cataloging function have plagued the RLIN21 system migration. After
we did the initial programming to load the records in their new form this
has not been as time consuming for my group as the OCLC problems since
the records coming from RLIN seem to be following MARC standards
consistently.
-Pathfinder record problem: Some records loaded to Gladis on July 15 have
not loaded correctly to Pathfinder. This problem is under investigation
in the Pathfinder group.
-Here is an example of a record that has the location "WEB"
created on the fly in the public displays. Note that no actual holdings
for loc=WEB exist in the MARC record (which is what you see in staff
displays).

3. Address correction
procedures / J. Weeks
A printout of the BPM section on Changing Receiving Locations

was handed out. Just as reminder to all units that perform
check-in, to make sure they are following the procedures set in the BPM
on address correction. The mailing label and issue must be routed
appropriately as well as appropriate notation being put in the Innopac
check-in box. Please read over the procedures for "Section
V. If an address change reverts to another location" for a
brush up on techniques of these procedures. Also note that it can
take many months for an address to be corrected so be patient and
re-refer as necessary following established procedures. The most
important thing to remember that CCS-"SerPay" must see the
incorrect mailing label in order to request the address correction, so
please make sure to save the mailing label for referral. Without
the mailing label it is difficult to make changes.
4. EBSCO online claim checker / J. Weeks
Handouts were passed out that included simple instructions, logon and
password, and samples of what the online claim checker looks like.
The EBSCO claim checker has been online only for over a year now.
It is important if you receive and check-in issues directly that you look
at and take action on your claim checker. In addition to being able
to reclaim directly from the claim checker, there is important
information about individual issues or titles that needs to be noted in
Innopac and/or taken action on. There can be notes from EBSCO
regarding titles such as "no longer available as a comes on";
messages from publishers "no record of order"; or information
about individual issues "replacement sent 7-12-05" .
EBSCO takes no actions on these; it is up to the owning unit to follow up
on these reports. Please refer to "serpay@library" any
oddities on the claim checker that require further contact with EBSCO by
Collection Core Services.
Judith demonstrated the Online Claim Checker. In the
"Action" column you can reclaim the item, re-list the item to
take action in the future, or remove the item from the list. The
column "Claim Information" gives you information on the item
claimed, EBSCO comment or publisher replies. This is the column
that you find interesting publisher and EBSCO replies regarding titles or
claimed issues.
Make sure to check you Claim Checker regularly at least once a
month. Items only remain on the claim checker for 60 days. If
no action is taken then they will be permanently dropped off the
list. If you forget to look at it and take action and the items
disappear off the list, you can always look at a "Claims Processed
Report" and sort by date and/or location to review old claims.
