Agenda:

1) Moffitt clean up project / Kathleen Gallagher

Kathleen took on the task of organizing a clean up project for the Moffitt stacks. What this means is they did a complete inventory and shelf reading of the entire Moffitt collection. In order to complete this monumental project they needed to bring together people from Systems Office, Technical Services, Circulation and Collection development. The project from start to finish took 8 months to complete and over 500 student hours.

Systems provided Gladis brief screen printouts for every Moffitt Gladis record. This took up approximately 3 full sections of shelves since the Moffitt collection is over 140,000 volumes. They assigned students to take the inventory printouts into the Moffitt stacks and they checked each record against what was on the shelf.

Many problems were cleaned up as a result of this project. They identified and fixed 11,000 problems. Of these 6,000 items were not found on the shelf and declared missing or were withdrawn, 2,600 items placed on search were later found and 1,000 volumes were discovered to have been mislabeled. The following is an example of some other types and numbers of problems that were cleaned up: 850 record errors from transfers, 200 Moffitt Reference record errors, 170 books that did not belong to them (mostly Main books), 115 general Gladis errors, 100 previously withdrawn that were reinstated. The Moffitt stacks are now in much better shape as a result of this project. Everyone applauded, as this was good news on a big project well done.

As a side note, Kathleen brought up questions regarding problems with RFR records. There was some discussion among the group about this but this is a topic that needs further discussion at a future meeting.


2) Change in Sciences approval vendor / Jim Gordon

With the disappearance of Academic book vendor, the Sciences have decided to change to Yankee as their book vendor. Both Yankee and Blackwell came to give the Science Libraries a review of their ordering systems. After all things were considered the Science Libraries decided it would be easier to go with Yankee as their vendor.

It won't be until late January before the Science Libraries will start seeing books ordered through Yankee. Libraries shouldn't see any change in the way the books are coming in. The end result the books should look the same. The books will come with only one label on the spine and no call number inside.

Blackwell will fill any outstanding Academic orders that are still in process for the next 6 months. After that, any orders not filled will need to be reordered or cancelled. All standing orders for monographic series are being switched over to Blackwell not Yankee.

Jim will be providing training on the new ordering system (GOBI 2) when everything is up and running. Please note to anyone using the old GOBI system, it will soon no longer be available and you will need to use the new GOBI 2.
