MEETING MINUTES

Announcements:

Pam brought up the topic of the recent rash of junk e-mails being
sent out on the BTECHGRP reflector and the Checkin listserv. As the owner
of both email accounts she has asked people to not respond back to this
junk mail (Spam e-mails). Delete the messages immediately. Responding to
be removed does not actually go to the sender but only goes out to the
recipients. Responding will only encourage more junk mail! See the
following for more information: 

Definition of Spam
A "spam" e-mail is generally defined as an unsolicited mailing,
usually to many people on a reflector or listserv such as BTECHGRP. They
are considered the equivalent of bulk-mailing "junk mail" that you
receive at home. 

Spam Do's and Dont's
When you have determined that you have received spam e-mail, just delete
the message.  Never respond to a spam e-mail. For a spammer, one "hit"
among thousands of mailings is enough to justify the practice.  Never
respond to the spam e-mail's instructions to reply with the word "remove."
This is just a trick to get you to react to the e-mail -- it alerts the
sender that a human is at your address, which greatly increases its value.
If you reply, not only does your message go out to everyone on the
BTECHGRP reflector, but also your e-mail address is placed on more
lists and you receive more spam.

Jon Solomon announced to the group that Karen Murphy has retired from
the Business & Economics Library. He has taken over her responsibilities
so if you have any questions Karen would normally answer please contact
him. 

Agenda:

Library assumes responsibility as a Department of Record - Jody
Bussell Jody Bussell of the Order Division reported that as of March 1st
the Order Division became a "Department of Record." They have been given
the approval by the Campus to process our payments and become the official
keeper of payment invoice records for auditing purposes. This will greatly
help to streamline payment processes. This is actually a great honor to be
allowed to do this. No other department on Campus has been given this
authority. Jody expressed her thanks to everyone in the Library because
without your attention to all the details this would not have happened.
She said everyone should pat himself or herself on the back for all the
good work we have done. 

Meet Monographic Processing and Cataloging staff - open discussion
BTECHGRP members were introduced to the attending Monograph
Processing and Cataloging staff members. As Pam went around introducing
each person, he or she described what their department was and what they
did. It was nice to be able to put a face to the names of the people we
may only know by name that process our monographs. It was suggested that
we have more combined meetings on topics directly related to questions we
may have on various areas of Monographic Processing. Thanks to all
Monograph Processing and Cataloging staff members whom attended. 

BPM procedure for Replacements/update - Tonette Mendoza
     
Tonnette Mendoza is still in the process of updating the BPM
procedure for Replacements. She asked the group if they were using the
draft document she brought before BTECHGRP last year. She wanted to know
how it was working and if anyone had any comments on the document or if
they were using some other way to process replacements. She was
particularly interested in how the different units were dealing with
patron provided replacements and what terminology if any they were adding
to the v/c's. A poll indicated that most were inserting *w in the old v/c
and creating a new v/c for the new item. The procedures for Moffitt are
slightly different as their collection has special needs regarding copy
numbers. It was stated that the Technical Services Council has not yet
approved the document and she would like to finish working on it so
that it may be approved and added to the new BPM. Tonnette will continue
to work on these procedures. She indicated that it would be good to meet
with the Circulation Supervisors Group to discuss the cross procedures
needed between Circulation and Technical services people to process a
replacement. 

BPM INNOPAC Manual/update - Pam Daniels
     
Pam Daniels reported that Jim Gordon from the Order Division has
finished updating the INNOPAC Manual. But since it's over 100 pages of
technical jargon that we are unfamiliar with, she suggested that the
BTECHGRPGRP not review it before the document goes up for review to the
Technical Services Council. She asked for a raise of hands and everyone
present agreed that the BTECHGRPGRP needn't review this long technical
document. 

The meeting was adjourned at 10:15 am.
