MEETING MINUTES

Meeting Schedule.
     
There will be no meeting in January 2001. The next meeting will be
February 7th.

Staff Changes

Steve Mendoza has moved from the Music Library to Reference and
Information Service. His replacement is Allison Rhea. We wish them both
the best of luck. 

Agenda:

Survey results - Piggyback barcodes for unbound cataloged items - Pam
Daniels
     
P. Daniels announced the results of the survey for the use of
piggyback barcodes for unbound cataloged items. Except
for one opposing vote from the Morrison Room, all the subject
specialty locations were in favor of using piggybacks.
The Morrison Room does not bind their unbound monographs and
therefore, would not benefit from a change in the
current procedure.

The pros and cons of using piggyback barcodes were discussed. The
pros included better workflow, convenience and easier tractability of
lower level records. We heard comments from the Preservation/Treatment
Division against the use of piggyback barcodes. Their concern is that the
long-term effect of piggyback usage is possibly harmful (the pulling off
the piggyback sometimes rips the paper, and that the rectangle that
remains after the barcode is moved can create a "weak spot" that could
deteriorate faster than the surrounding page). Ultimately, it was
determined that there were no easy solutions for the possible adhesive
problem. This subject will have to be discussed further. 

Likewise, the detrimental affects of tattle tape were also discussed.
Tattle Tapes, unfortunately, pose similar problems for binding and repair. 

The survey results will be discussed in the upcoming Technical
Services Council. 

BPM procedure for Check-in - April Gilbert
      
Gilbert reported on the progress of the updated BPM. The team has
been working on revisions of the BPM procedure for Check-in for the last
six months. New sections added included opening mail and media, however
the section on media still has a few areas that need further discussion
before they can be added to the manual. 

A major change included making the Manual into one flowing document
instead of many HTML documents. This will greatly help in navigation.
Adding a subject content page and glossary were some ideas suggested for
better navigation and for easier access to different documents. Members
were asked to read the updated manual and send their
comments to April Gilbert. 

The revised manual will be discussed in the upcoming Technical
Services Council. 

BPM procedure for INNOPAC editing techniques - April Gilbert
     
This updated section is specific to editing techniques directly
related to serials checkin. Since it was originally written
there have been many new releases of INNOPAC, so this section was
updated and revised for accuracy. These editing techniques will be kept in
the Serials Manual, as it comprised of procedures specifically designed
for serials checkin. 

INNOPAC variable field problems - Judith Weeks

The Bioscience Library has noticed anomalies in some of their INNOPAC
check in records for some time. This includes call numbers moving into
label note fields, vendor notes having their data replaced with
information from other fields, as well as other strange anomalies. 

Since the installation of the latest version of INNOPAC the problem
has appeared to have stopped. All units should please make note of any
strange anomalies with their check in records and report them to Jim
Gordon. 

USPS mail receipts - open discussion
     
Many units have reported a drop in mail receipts for the past six
months. P. Daniels has been investigating the problem and has discovered
the problem may be attributed to personnel problems at the Oakland Main
Postal Office. 

Because of short staffing, the post office was stock piling our mail.
Their recent hiring of temporary employees may alleviate our drop in mail
receipts. Staff need to monitor this problem and give any feedback back to
Wendell Hogg, Mail Division Unit Head. As a campus department, we need to
be more proactive about this problem and report such service to the Postal
Inspector.
