MEETING MINUTES

February 2, 2000

Announcements

III/LARS Binding Update
     
Judith Weeks reported that the III/LARS binding module is not yet
ready. Innovative Interfaces Inc. and LARS are still working on the
programming problems. It will be a minimum of 3 months before it will be
ready for other campuses to start testing. 

Current Update on the Order Division Rebecca Green sent a message via the
BTECHGRP reflector regarding changes in staffing and workflow changes in
the Order Division. When staffing in the Order Division has stabilized, 
the Order Division would welcome the opportunity to announce their
permanent configuration to BTECHGRP. 

BTECHGRP Roster
     
Pam Daniels is updating the group's roster. She will contact
technical processing units to find out who's who and if anyone needs
mentoring. 

Organizational Renewal
     
Friday's email to "allusers" will include invitations to sign up for
the Library Values Discussions at the Alumni House. Although registration
is not required, everyone is encouraged not miss this opportunity to
participate in the next step of our organizational renewal process. The
top values that emerged from the Job Stress/Satisfaction Survey and the
yellow card exercise at the Town Hall meetings were Respect, Fairness, and
Open Communication.

There are others values that can be discussed -- these were the top
three. The dates and times of the discussions are:

Monday, February 14, 10:30 - 12:00 
Tuesday, February 15, 1:30 - 3:00 
Thursday, February 17, 8:30 - 10:00 
Tuesday, February 22, 2:30 - 4:00

Agenda

Serials Check-In Problems - Wanda Rybak

Wanda reported occasional problems with box deletion in RLOC=S check
in cards. Some branches have been deleting all arrived boxes after
binding, leaving no check in history and only expected boxes. This poses
problems for her unit, since receipt history is important for claiming,
etc. Chikako Pierce from the East Asian Library and Judith Walker from
Serials/Documents\Technical Services Department agreed that retaining
boxes on INNOPAC to show check-in history is important for central
receiving units. Wanda urges all units to keep enough "BOUND" boxes in
RLOC=S titles to prevent possible duplicate, missed issues or claiming
problems. 

Wanda also brought up concerns regarding branches doing double
check-in. Some branches are adding a "received" note in the box-specific
note field when they receive it, to show that the issue actually made it
to the branch after Periodicals Check-in staff have checked it in. That is
double work. She also expressed concern that some of the information that
her staff needs to put in the box note is being deleted. Some branches
receive the issues directly, then record the issue received. If the issue
received is a duplicate, put that information in, but also consult
Periodicals Check-in staff as there might be a problem with the record,
especially if a particular periodical is being duplicated by the
same and/or different supplier. Branches need to be careful about
deleting information that central technical processing staff put in the
box-specific note. It is often necessary information to retain this
check-in information 

Judith Walker reminded the group that when we started using INNOPAC
many people didn't know how to use the boxes and what information to put
into them. She reminded the group that if the "card display" option is not
adequate, staff should use the "line display" option.

Pam reminded group members to add the date and their initials to a
box when adding information to the box, so we know when a transaction
happened and who to ask if questions arise. Wanda added that when sending
material to her section, to please put your name and information about
what is wrong, so she can talk with you if she has questions about the
requested work. 

Branch Processing Manual Review - Pam Daniels

It was recommended that the Technical Services Council set a
subcommittee to continue the review of the Berkeley Processing Manual. Pam
has volunteered to chair the subcommittee. The Technical Services Council
discussed seeking volunteers to represent acquisitions, serials,
cataloging, and the branches. If anyone is interested in being on this
subcommittee, contact Lee Leighton.

BTECHGRP\Review of Role and Purpose - Pam Daniels

In the past, absolutely no decisions could be made to change current
procedures. Recommendations had to go through the Public Services Advisory
Group for Technical Services (PSAG-TS). 

Pam announced that she received an email message from Lee, that
although the former PSAG-TS has been replaced by the Technical Services
Council, the Cataloging Council and BTECHGRP will still need to exist and
will report to the new Council. Once sections of the BPM that need to be
reviewed are identified, BTECHGRP members will be asked to review the
updates before the Technical Services Council. After the review,
procedures will be passed to the Council and then mounted on the web. 

After a brief discussion, the group members expressed their desire to
keep the meetings informal as possible. Future discussions should not
focus primarily on the BPM.
