Agenda:

Checkin Dept. Update - Wanda Rybak

Wanda gave the group a rundown on what has happening in the check-in
unit since June 1998 when she took over the unit as manager. She is also
the manager of the mail room. Since June Wanda has had to hire and
train new students. In mid-December she hired and assistant, April
Gilbert, to supervise students and takeover as claims workleader. April,
too, is still undergoing some training. Laura Moody will train in her on
the claims duties in February.

The backlog the unit experienced over the winter holiday is now
gone, and staff is now processing material on the same day it arrives.
Also, 7 new students have been hired.

Wanda thanked the group for sending along to her checkin errors, and
would like staff to continue to direct mistakes to her so she and her
staff can learn from these mistakes. She welcomed suggestions as to how
she might perform her job more efficiently.

There was a question as to whether Checkin Unit handled material with
the rloc=d (DOCS). Judy Walker responded that no, Checkin Unit was only
responsible for rloc=s, that rloc=d material was handled by Kay Sundstrom
and her staff.

What does status z mean on an exchange title? A cancelled by selector
note in order record means that the selector no longer wants title
A dropped note in order record means that the selector still
wants the title, but for some reason the title was not being received. If
pieces start coming again, record should be reopened. What does status d
mean on an exchange title? The title is still active, but for some reason
not being received. The record should still be open.

Open Discussion:

A discrepency was noticed between Innopacq and Gladis as to LOCATS.
Mostly sep/aes and mvms. Probably due to a lot of transfers. Please
remember that all transfers and the Innopacq changes involved should
always come through Central Technical Processing.

The comment was made that Innopacq labels are peeling off and jamming
up the machine.

Since the demise of CDT and the takeover of their contract by
XEROX, some have been experiencing problems with the maintenance of their
reader/prinrers and their copy machines. Giulia Sacco-Trujillo reported
that on the P/N/M, all of their machines were down and no technicians
responded to her reports for service. It was suggested that if you do
not already keep a log sheet of copier problems to begin doing so,
and to send complaints on this issue to Mike Rancer, so he becomes
aware that there is a problem.

This question was raised by Laura Ng (Physics) who stated that a
shipment of dissertations sent out were lost. Procedures for this are in
the BPM and all seemed to follow those procedures: prepare q-level
records and send to Eunicetine for cataloging.

Next meeting scheduled for March 3rd.
