INNOPAC EDITING TECHNIQUES                                                                             Revised: July 1996

  1. FIXED-LENGTH FIELDS

    Fixed-length fields on the bibliographic, order and checkin records are edited as follows:
    Key the number that precedes the field to be updated.
    Key the new text.
    Hit <return> if new text is less than the maximum number of characters in the field.
  2. VARIABLE-LENGTH FIELDS

    Variable-length fields on the bibliographic, order and checkin records are edited as follows. Note that the line numbers used to select existing fields are just sequential numbers based on the total number of fields in that record; they are not permanently associated with any particular field tag.

    1. INSERTING A FIELD
      Key "i" to insert field.
      Key the appropriate INNOPAC tag for that field.
      (For online help screen of INNOPAC tags hit space bar at this point)
      Key the text of the new field.
      Hit <return> at the end of the field.
    2. DELETING A FIELD
      Key the line number that precedes the field to be deleted.
      Hit <return>
      You will then get a warning message.
      Key Y to delete or N to discontinue the delete process.
    3. MODIFYING A FIELD

      1. REPLACING ENTIRE FIELD
        Key the line number that precedes the field to be updated.
        Key the new text.
        Hit <return>
      2. EDITING PORTION OF FIELD

        The following technique is used to modify text within a field; to insert text at the beginning of a field; or to delete part of a field.

        Key the line number that precedes the field to be updated.
        Key the old text that is to be replaced.
        Key the two characters <= to separate old text from new text.
        Key the new text
        Hit <return>

        e.g., to change "serails" to "serials", key:
            ai<=ia

        This is essentially a substitution command--i.e., what is keyed to the left of the characters <= is deleted and what you key to the right of the characters is inserted in that same position.

        The INNOPAC system looks for the 1st occurrence of the character string given to the left of the substitution command. If the character string you are changing is not the first occurrence, you will need to key additional characters to uniquely identify it. Remember to repeat these extra characters to the right of the substitution command or they will be deleted.

        e.g., to change "mail serails" to "mail serials",
          key:      rai<=ria

    4. MOVING FIELDS

      If there are multiple occurrences of the same variable-length field (e.g., check notes), you can re-arrange the order of the fields by keying the following from the checkin record screen:

      Z     <MOVE fields>
      <Which field to move?>
      <Before which field?>
      You cannot re-arrange fields of different tags (e.g., you cannot move a check note in front of the call number). The order of fields is controlled by an INNOPAC table.

  3. CHECKIN CARD

    1. INSERTING BOXES

      If the card contains less than 56 boxes, additional boxes may be inserted in any position on the checkin card. The box numbers of the subsequent boxes will be automatically adjusted. Verify parameters of the checkin card to ensure that the values are accurate. For further information, see (BPM SERIALS MANUAL. CHECKIN, APPENDIX C)

      1. INSERTING A SINGLE BOX

        M <MAINTENANCE mode options>

        <New box will be which box?>
        Key the box number of the position where you want to insert the box.
        The system will than prompt for all the possible fields of a checkin box
        (STATUS, VOLUME, ISSUE, COVER DATE, TRANSACTION DATE, NUMBER OF CLAIMS WRITTEN, NUMBER OF COPIES RECEIVED, NOTE). Key the appropriate values.
        <Add this new box?>   y/n

      2. INSERTING RANGE OF BOXES

        M <MAINTENANCE mode options>
        U <UPDATE a range of boxes>
        I <INSERT a range of boxes>
         
        <First box of new range will be which box?> Key the box number of the position where you want to insert the box.
        <Insert how many boxes?> Specify the number of boxes you want to insert.

        The system will then prompt you for the following:

        <Status?> The value you select you will be given to all boxes in the updating range.
        <Starting volume?> Key the volume # of the 1st box in the range.
        <Starting issue?> Key the issue # of the 1st box in the range
        <Starting cover date> Key the cover date of 1st box in the range or key <RETURN>
        <Starting transaction date?>
        Key the transaction date of the 1st box in the range. If the status is arrived, you will be asked if the date should be incremented for subsequent boxes. If "no" is answered, the same transaction date will be assigned to all the boxes in the range.
        <Note?> Key as appropriate or key <RETURN>

    2. RESETTING CURRENT BOX

      M <MAINTENANCE mode>
      R <RESET current box>

    3. DELETING BOXES

      1. DELETING A SINGLE BOX

        D <DELETE a box>
        <Delete which box?>  Key the box number to be deleted.

        INNOPAC will give you a warning message if you attempt to delete a box with "arrived" status.

      2. DELETING A RANGE OF BOXES

        U <UPDATE range of boxes>
        D <DELETE a range of boxes>
        <Start at which box?>
        <End at which box?>

    4. MODIFYING BOXES

        <Modify which box?> Select the number of the box you want to modify.
        A <ALTER data elements of this box>

        The system will then prompt for all the possible fields of a checkin box. Hit <return> until you get the field(s) that need updating.

        <Replace data for this box?> (y/n)

        Special situations:

        1. MODIFYING A NOTE
          You cannot modify a portion of the NOTE; you must re-key the entire field.
        2. DELETING A NOTE
          Hit the <DEL> key.
        3. DELETING the VOLUME or ISSUE field
          Key ZERO or hit <DEL> key
        4. DELETING COVERAGE OR TRANSACTION DATES
          Key 2 spaces
      2. MODIFYING RANGE OF BOXES

        M <MAINTENANCE mode>
        U <UPDATE a range of boxes>
        M <MODIFY a range of boxes>
         
        <Start at which box?>
        <End at which box?>
         
        <Adjust status or note fields?> (y/n)
        <Adjust issues?> (y/n)
        <Adjust cover dates?> (y/n)
        <Adjust transaction dates?> (y/n)

        Responding yes to any of the above will cause the system to prompt for that field.

        If you change status to "a" (arrived), the system will also ask:

        <Copies?>
        hit <return> to keep default value
        <Notes?>
        Hit <return> if a note is not needed
        <increment transaction date?>
        y system will increment transaction date based on days between issues
        n system will keep same transaction dates for all boxes

        If you are also adjusting the transaction dates, the system will ask:

        <Starting transaction date>
        Key the appropriate date or
        hit <return> to keep default value
        <Increment transaction date?>
        y system will increment transaction date
        based on days between issues
        n system will keep same transaction dates
        for all boxes
        <Notes?>
        Hit <return> if a note is not needed

      3. EXTRAPOLATING RANGE OF BOXES

        A common use of the EXTRAPOLATE function is to insert boxes for a daily newspaper that publishes Monday through Friday only.  The system can extrapolate additional issues based on the first week's data with no additional adjustment required.

        M <MAINTENANCE mode>

        X <EXTRAPOLATE cover dates>
        When the system asks for the number of boxes to create, follow the system prompts as appropriate.  The system will then perform the extrapolation based on the previously keyed data.

        SPECIAL SITUATIONS:

        1. The following fields cannot be updated as a range of boxes; each box must be modified individually.
          NUMBER OF CLAIMS    NUMBER OF COPIES

        2. Boxes with status=NULL cannot be updated as a range of boxes; each box must be modified individually.

  4. CHECKIN CARD PARAMETERS

    M <MAINTENANCE mode>
    A <PARAMETERS>
    Hit <return> until you get to the field(s) that need correction.
    After all fields have been prompted, the system will ask:
    <Default parameters as you want them?> (y/n)

  5. DELETING CHECKIN CARDS

    M <MAINTENANCE mode>
    X <DELETE card>
    <Are you sure you want to delete card?> (y/n)

  6. DELETING CHECKIN RECORDS

    Key the following from the checkin record screen.

    D <DELETE record>
    <Are you sure you want to delete record?> (y/n)

    If there is a checkin card attached, it will be automatically deleted.
