TRANSFERS                                                                                                  Revised: February 1996

  1. TRANSFERS BETWEEN BRANCHES

    The old branch performs the following actions:

    1. GLADIS UPDATING
      1. Change the LOCAT in all holdings screen fields
        Exception: If the volumes are missing or charged out, leave those under the old location (add PI note or V/C *n regarding the missing volumes).
      2. Add SLF
        e.g., TR. from ENGI 6/96
      3. If analyzed set, update LOCATs in each analytic record.
        If barcodes were already in both the set and the analytic records, the system will automatically update the locat in the analytic V/C when the set record is updated (it will give you a warning message first).  You will still have to update the locat in the other holdings screen fields.

    2. INNOPAC UPDATING
      1. If there is an active ( status = f ) INNOPAC record, the branch does the following updating regardless of RLOC:
        1. Change LOCAT in Checkin and Order records
        2. Add CHECK NOTE to checkin record:
          e.g., TR. from ENGI 6/96
        3. Add INTERNAL NOTE to order record: same as the CHECK NOTE above
        4. If the purchase title requires a FUND change:
          Notify Collection Core Services Division/Serials Payments Unit ( e-mail: serpay )
          Branch should NOT change fund in INNOPAC.
        5. If RLOC change is necessary:
          Notify Collection Core Services Division/Serials Payments Unit ( e-mail: serpay )
          Branch should NOT change rloc in INNOPAC.
      2. If there is a closed ( status = z ) INNOPAC record:
        1. Change LOCAT in Order record (and Checkin record if still present)
        2. Add INTERNAL NOTE to order record (and CHECK NOTE to checkin record if still present)
          e.g., TR. from ENGI 6/96.
      3. If there is no INNOPAC record:
        No INNOPAC updating is necessary.

    3. ROUTING OF MATERIAL
      Send the bound and unbound material to the new location.

      The new location performs the following actions:

      1. Verifies that all volumes have been received
      2. Relabels the material
      3. Updates the local shelving / binding / holdings information in GLADIS and INNOPAC as necessary
      4. If some of the volumes are in NRLF:
        1. If volumes are to remain at NRLF: Notify NRLF, attn: Ginny Moon (e-mail: vmoon) to do a "paper transfer" from location A to location B.

      Notify Serials Cataloging Unit if the title requires additional bibliographic work.

  2. TRANSFERS FROM BRANCH TO MAIN

    Branch perform the following actions:

    1. GLADIS UPDATING
      Same as section IA above

    2. INNOPAC UPDATING
      Same as section IB above

    3. ROUTING OF MATERIAL
      Send bound and unbound material to Serial/Documents Division: attn: Binding Unit.  (Ser/Docs relabels unbound issues; sends bound volumes to Marking; updates local shelving / binding / holdings / information in GLADIS/INNOPAC; notifies NRLF as necessary; does other referrals as appropriate).

  3. TRANSFERS FROM MAIN TO BRANCH

    Send transfer requests to the Serials/Documents Division, attn: Binding Unit (or email: sermaint)

    The Serials/Documents Division, Binding Unit performs the following actions:

    1. GLADIS updating - same as section IA above
    2. INNOPAC updating - same as section IB above
    3. Pulls bound volumes from MAIN stacks and sends to Marking (Support Services Unit of the Copy Cataloging Division)
    4. Pulls unbound issues from the Periodical / Newspaper / Microform Unit and sends to branch.

    The branch performs the following actions:

    1. Updates local shelving / binding / holdings / information in GLADIS and INNOPAC.
    2. Relabels unbound issues
    3. Notifies NRLF of  "paper transfers" or deaccession requests.
