GLADIS ERROR REPORTING -- BOOKS Revised:

Errors in f, r, and b level records should be reported for fields listed below.
Most t level records will be upgraded by Bibliographic Notification, a service
provided by OCLC. However, corrections to t level records should be forwarded
for author (1XX, ME), title (245, TI), date in 260 (IM) and series entry (4XX)
fields. (For more complete information on MARC fields see BPM,
Appendix 1.)
1XX = Author (ME)
245 = Title (TI)
246 = Title added entry
250 = Edition information
260 = Publishing Information (IM)
4XX = Series entry
6XX = Subject heading
7XX = Added author entry
8XX = Series added entry (SE)
Also, errors in call numbers and po#'s should be reported.
For errors in lower level p, c, q and d (except MAIN d level TCPs) records,
forward the book for conversion to a higher ( r or f ) level record. Send
books for conversion to: Technical Services Department, Retrospective Conversion
Unit.
TO REPORT ERRORS IN GLADIS:
Send e-mail to monmaint form
(Database Maintnenance Unit). Include GLADIS record and an explanation
of what correction(s) need to be made.
OR
Send a photocopy of GLADIS printout with correction(s) annotated, and if necessary,
include book and route to Technical Services Department, Copy Cataloging Division,
Database Maintenance Unit.
Problems to report:
- Shelving locations either in/on book do not match GLADIS.
- Call number does not match in/on book and in GLADIS.
- Title does not match title page or (in the case of cover titles) cover.
- Edition statement in book does not match edition field (250) in GLADIS.
- Two or more different books with the same call number in the SAME shelving
location. If there are two different books with the same call number
in DIFFERENT locations, DO NOT report.
- MVM holdings do not include volume/volumes in hand.
- No record in GLADIS. Return book to Database Maintenance Unit.
- Duplicate records. Report duplicate records regardless of levels.
- Record needs deleting. In general, records are not deleted from GLADIS.
However, there are cases where information needs to be transferred from one
record to another and one of the either duplicate, incorrect, or lower level
records deleted.
- Requests for reclassification. In cases of obvious misclassification
or where the classification assigned causes serious public service problems,
shelving locations can ask the Database Maintenance Unit to reclassify an
item. In cases where editions of a work have been split between two
or more call numbers, and the material is in heavy demand (on reference or
reserve, etc.), a shelving location can request reclassification into a single
basic call number with dates for the different editions.
- Other. For any category not mentioned above, i.e., retrieval problems,
typographical errors, errors in filing indicators for fields, etc.
