Arts and Humanities Council Meeting of February 2, 2006

1. Announcements

Suggestions were encouraged to be given to the three A & H representatives on the screening committee for candidates for the AUL for Collections. The elected representatives are: M. Burnette, P. Hamburg, and A. Urbanic.

Thomson-Gale has announced a microform products sale, where there will be discounts given for collective bulk orders of material. A. Urbanic can give more information to interested selectors.

The Bancroft Library is celebrating its centennial with an exhibit at the Berkeley Art Museum. There is a 2-day symposium planned for February 10-11.

2. Feedback on the selector workshops on preservation decision-making

Many participants felt that too much time was spent on a general introduction to preservation, at the expense of time to tour the individual department units. Though the general introduction was most helpful to librarians new to UC, all agreed that more time should be spent demonstrating what the individual preservation units do and their respective roles within the preservation department. Handouts were helpful as a way to follow along while on the tour.

Most participants felt that the program was useful and practical, and that with an extension of time spent in individual units, the tour should be repeated every few years.

3. Library Instructor Development Task Force

The task force is in the process of developing a survey for UCB librarians to help determine what types of programs should be put together to help cultivate instructional skills for librarians. The survey is the primary method of gathering information to build the instructional program; all are encouraged to participate.

4. Function Council Reports

Technical Services:

B. Williams reported that the technical services department is now in lockdown mode, meaning that 250 Moffitt is not accessible without a programmed keycard, in an effort to control theft and tampering.

The Bibliographic Services Task Force has just issued a report from the Systemwide Operations and Planning Advisory Group (available at: http://libraries.universityofcalifornia.edu/sopag/). The report makes recommendations for how to improve bibliographic/access services at all UC campuses.

Public Services:

Lynne Grigsby-Standfill spoke to the PS council about removing records for withdrawn items from Melvyl. Currently, ILL does not recognize withdrawn records as unavailable items and prevents users from requesting locally withdrawn items through ILL. Grigsby-Standfill will be further investigating the effect of the change on OCLC records.

5. Adequacy of current minimum standard replacement cost of books.

Current default replacement charge is $100.00 plus a $10.00 processing fee; default charges can be overridden by using the *M field. Creating a unit- or discipline-specific charge is problematic, as there are different criteria for valuing materials in the Arts/Humanities libraries and the Science/Technology libraries. The most expensive books may be newer selections in the science libraries and the older materials in the humanities libraries. The default charge for lost books is designed to average out the costs for libraries between replacement values above and below $100.00.

The $100.00 default was set several years ago and due to rising book costs along with inflation, there is a proposed increase to $125.00, which council members found to be reasonable. To provide further information on which to base a recommended increase amount, E. Byrne will investigate loss statistics, find out when the last fee change occurred, research the serials loss policy, and look into whether it would be possible to adjust the default fee according to the year of publication.
