I. MELVYL-T Overview and Demonstration
Cris Campbell and Ellen Meltzer of CDL provided an overview of the current
status of MELVYL-T developments. The full production database, comprising
snapshot records from all campuses (with some amendments and clean-up) was
loaded in July 2002around 24 million records. CDL has been testing the
database and is still working on a number of technical issues concerning
the database and Ex Libris software.
Ellen Meltzer provided a discussion of the differences between the MELVYL-T
catalog and the MELVYL "legacy" catalog (i.e. Old MELVYL). Some of these
differences include different methods of merging records from campuses;
different indexes and different definitions for indexes used by the
catalog; a merging of the CAT and PE catalogs; different record loading
schedules; elimination of some of the sources previously included in CAT PE
(including CULP (Public Library Periodicals), SERHOLD (Medical library
serials) and serial holdings of Stanford, CSU libraries, The Getty Museum,
and Lawrence Livermore Labs). The CDL is investigating other strategies for
accessing these materials that will be less confusing to catalog users and
that also ensure non-UC records are both accurate and up-to-date. These
strategies will be in place by the time that legacy Melvyl retires in July,
2003. A CDL newsletter, Ex Libris MELvyl Tells (EL Mel Tells)
(http://www.cdlib.org/libstaff/elmeltells/) contains useful information and
news about the development and roll-out of the MELVYL-T catalog.
Ellen and Cris provided a demonstration of some of the key features of
MELVYL-T and answered questions.
II. Announcements
Shayee Khanaka introduced Paul Hamburg, the new Judaica Librarian in RRC.
Kathryn Wayne introduced Laura Tatum, the new archivist in Environmental
Design Library
III. Function Council Reports
David Sullivan reported on the Technical Services Council. Tech Services
efforts to reduce cataloging backlogs by employing brief cataloging options
for some materials was discussed. K. Wayne pointed out that AHC needs to
appoint a Library Assistant replacement for Claudette Smith, former liaison
to the Tech Services Council.
Jan Carter reported on activities of the Collections Council, particularly
on the on-going Elsevier Project and other serial reduction efforts. Patty
Iannuzzi sent out a memo on December 3, 2002 outlining the process for the
budgeting model and the review process for the Elsevier package. In order
to pay for UC Berkeley's share of the package, funds that were formerly
used to pay for individual Elsevier titles were transferred from the
selectors' fund to a single fund to pay for the Elsevier package. The
credits for the cancellation of the print titles in the Elsevier package
will not be returned to the selector, but rather will be used to cover part
of the $700K budget reduction we are aiming for, thus lowering the amount
of the reduction that must come for individual selectors' funds in Phase II
of the cancellation project. The selectors who formerly paid for the
Elsevier titles from their funds will subsequently have a lower base for
calculating the cancellation targets in Phase II. All other (non-Elsevier)
cancellations made by selectors will be credited to the selector's fund.
There will be a UC print archive of Elsevier titles at SRLF; selectors can
request exceptions in order to retain print copies here at UCB, as well.
Requests for exception should be made through the subject councils
(deadline, March 1, 2003). Arts and Humanities Council members should
review the list of titles and decide if they want to notify their faculty
(although most Elsevier titles are in the sciences, there are quite a few
social sciences titles that may also be of interest to AH&C constituency).
Phase II of the "budget reduction" hasn't been discussed in any detail in
Collections Council yet, but will be taken up at the January 21st meeting.
If we save $300K or so from the Elsevier package, about $400K will remain
to be cuta reduction that will need to be distributed among individual
selectors' funds. Cancellation decisions for this phase must be completed
by Jun 1st . Gail Ford will be working on a public web site that faculty
can be referred to regarding the reduction project.
Next meeting: February 6
