M. Rancer called the meeting to order at 1:45 pm.
Xerox copy service
The Xerox contract to provide copiers and printers to the libraries will
expire on August 31, 2004. Xerox has stated that they are losing money on
the current contract and that copying has decreased by 30% on the
campus. They intend to submit a new bid and propose to provide copiers but
charge for servicing them. The contract which now nets money for the
Library, would instead cost the Library up to perhaps $200,000 per year.
The library is looking at alternatives. A committee, composed of Ann
Jensen, Jill Woolums, Susan Koskinen and Debbie Jan will contact 12 15
universities to determine how their contracts are structured and which
vendors they use. Charles Jackson will contact some vendors as well. The
library is also studying decommissioning some copiers and providing
printers. P. Payne mentioned that the computer labs use Pharos Systems and
the library may want to talk with them about providing printing
services. The committee will meet again on May 30, at 1:00 pm in Room 110
to continue their discussions.
Sierra Springs water
M. Rancer has talked with the representative from Sierra Springs, the
previous water vendor, about the remaining water coolers that need to be
picked up. They should all be gone by the end of the month.
Kronos update
The library is replacing the old, orange Kronos time clocks with new ones.
The new clocks have many upgraded features which will allow students to
look at their schedule, review their punches, etc. Jason Delaney will
install the clocks as soon as they are received beginning with Interlibrary
Loan. Business Services is taking the lead on putting together a User
Manual for supervisors and students.
Fiscal Close
E. Woods reminded everyone about fiscal close schedules and to refer to the
handout that she sent out via email last week. She mentioned two new BFS
reports: monthly expense report & two year comparison report that are very
helpful. E. Woods is also working on a BAIRS training class and a manual
specifically for library staff. This class would also be open to affiliated
library staff as well.
Library Human Resources Department (LHRD)
S. Wong announced that as a component of the Library Budget/Planning
process; the first two of four Library Staff sessions addressing
flexibility and fairness in this process were to be launched this week and
scheduled for Thursday afternoon, 5/15, and Friday morning, 5/16, in 227
Haviland Hall.
LHRD issued the Call for Staff Performance Appraisals for employees who are
eligible for review and whose last names begin with the letters A-M.
Completed performance appraisals are due to LHRD, by June 16, 2003.
LHRD will be partnering and working with campus OHR Staff Infrastructure
Steering Committee (SISC) Project Team representatives to further define,
refine and clarify all staff positions in the Library Unit that will be
encompassed in the proposed, new campus job families and subfamilies
infrastructure. LHRD is to meet with the above representatives this week as
part of an ongoing review process.
Discussion and inquiries specific to changes to Article 43 Wages ensued
about the new CUE contract. CUE contract was ratified on May 12, 2003.
Following is a summary of the changes to key provisions in the Wage Article
for the Clerical contract:
To be eligible for the lump sum and range adjustment portions of the
agreement, employees must be in a position in the bargaining unit as of the
effective date of the agreement, or must be on approved leave.
Eligible employees will receive a lump sum equal to 1% of their
total earnings for the period 11/1/01 through 9/30/02. The basis for total
earnings will be straight time pay (base pay) plus overtime.
Effective October 1, 2002, salary ranges will be increased by 1%.
Eligible employees will have their pay adjusted as a result of the increase.
Effective October 2, 2002, eligible career employees will receive
a within-range one-half step, base-building salary increase. For purposes
of this section, employees must meet the general eligibility requirements,
must have been in a career appointment for 6 months as of October 2, 2002,
and must have at least satisfactory performance as of that date. Less than
satisfactory performance must be supported by a written performance
evaluation that was in place as of October 2, 2002.
Free Speech Movement Café Survey
In November 2002, the library surveyed patrons of the Free Speech Movement
café. The food, service and venue all received high marks. The only
qualifier was the need for more seating, especially on rainy days. M.
Rancer and F. Yasaki are discussing ways to add more seating, lights,
heaters, and a trellis to provide bad weather protection.
Planned Power Outage
P. Payne announced that the library is planning to switch over to a new
generator which will require a four hour power outage. They are planning to
do this sometime between May 27 30th from 6:00 p.m. 10:00 p.m. He will
send out an all users message to the campus. This will affect all of Doe &
Doe Annex alarms, networks and servers.
